United States Postal Service (USPS) publishes statistics on Undeliverable As Addressed (UAA) mails. They have identified that the reasons for undeliverability vary from change of address to refused-to-accept and from vacant premises to no-such-street!

Now, almost all personal, official and business communications happen over emails as it’s quick and reliable than postal mails. But, interesting enough, the challenge of undeliverability has moved in with emails too.

What is an undelivered email? Those are the emails that remain in the queue waiting forever and eventually delivery is declared failed.

Reasons Why Emails Go Undelivered

Reasons why emails go undelivered can be broadly classified into two categories: sender-side issues and recipient-side issues. This article will be discussing the recipient-side issues and their solutions.

Recipient-side issues are the modern-day replica of UAA mails. Listed below are the most common reasons observed. It also provides a brief analysis of each.

Mailbox Does Not Exist: Usually this happens with newly added recipients as the addresses could be misspelled. Tracing back to the data entry point is recommended before contacting the customer. If an existing email address is bouncing all on a sudden, the chance is that, say, the customer had a job change recently.

Exceeded Mail Storage Limit: In this case, the recipient likely to have abandoned the account, or is not checking or clearing the mailbox regularly. Remedial measure is to get their active email address or advise them to free up their mailbox.

Host Not Found: Personal mail domains or work email addresses are found to return such errors. If this occurs consistently with an email address, it is recommended to get a new, reliable one instead.

Marked as Spam/Moved to Quarantine: This is not a mail bounce in its strict sense. But recipient’s mail service will return a message to indicate that for inbox delivery, it may require additional one-time action from the sender—often clicking a verification link.

Refining Address Database is a Continuous Process

With a new address database, accounts as high as 15% may need correction this way. It comes down to less than 5% over continuous refinement process. But with large recipient database, it becomes impossible to manually track every bounced mail.
